Our Commitment to you

Although In2Sports will always endeavour to maintain the highest duty of care to our clients, please be aware that everyone plays at their own risk and the company will not be liable for any injury sustained while playing or exercising. Sports injuries can happen at any moment so if you are unsure, do not play. It is the responsibility of the ‘Organiser’ of the event or fixture to inform participants of this. If you have any concerns about your health or suitability for your chosen activity, you should seek guidance from a doctor or relevant health professional before participating.

 

General Policies

  • Before making any purchases, please review these terms. If you have any questions or disagree with any of the terms, please refrain from proceeding with your purchase. These terms may be subject to occasional updates, so please review them before each transaction. By continuing with your purchase, you confirm that you have read, understood, and agreed to these terms and conditions
  • We impose a zero-tolerance policy. Verbal abuse or Harassment of any kind will not be tolerated on the premises

 

Registration

  • Applicable to all individuals making a booking for the first time
  • A valid ID card must be provided to register with us
  • Your ID will be digitally stored and uploaded to your registered account

 

Sports Halls:

Bookings Policy

  • Our booking policy is on a first-come, first-served basis
  • All bookings must be requested over email. Bookings requested over the phone or at the reception will not be accepted
  • A booking is only considered “confirmed” once the payment has been completed and registered on our system
  • Your registered account is not transferable and may only be used by the registered user or club/organiser of a booking
  • If the booking is not paid within 48 hours of issuing the payment link or invoice, the booking is considered incomplete, and the reservation will be removed from the system
  • Anyone under 16 years old using the facilities needs to be accompanied by an adult at all times
  • Groups with a higher number of participants and larger sports events may require an additional 30 minutes booked on either side of the existing booking for the purposes of cleaning, court changing, specific setup, etc. There will be an additional £150 returnable deposit charge if the arena is returned in the condition it was provided
  • Bookings are allocated 55 minutes of playtime
  • No bags or personal belongings on the court. Please keep them in the lockers provided in the changing rooms. All lockers require a £1 coin or a token to work. Reusable tokens can be purchased at reception for £1, which is not refundable
  • Equipment such as balls, rackets and plastic shuttles can be provided. Clients must provide a valid ID card to hold in exchange for equipment
  • Any adhesive required for play of sports must be water-based
  • Misused items must be compensated for:
    1. £25 per ball
    2. £15 per racket

Sports Hall Cancellation Policy

  • The booker/organiser has 24 hours from the time the payment was received on our server to cancel the booking and receive a full refund. Notification must be provided by email to info@in2sports.org. If we have no record of any communication and a payment has been settled, we presume you agree to our terms and conditions. The time of the notification is recorded when the communication is registered on our server
  • Once your booking has been booked for more than 24 hours, it is non-refundable
  • Your booking is non-refundable if it was made on the same day or the next day at the time that the booking was made, and point 1 above does not apply
  • If subsequently you cannot fulfil your booking, In2Sports will attempt to re-sell your booking to another customer for you upon request
    1. If it is re-sold, we will then move your booking to another day where there is availability or credit your In2Sports account to use in the future
    2. If your booking is not re-sold, the court is still chargeable and will be available for you to use on that occasion
  • If you cannot make your booking due to transport, weather conditions or for any other reason, In2Sports is not obliged to refund or re-schedule your booking unless the business is closed for any reason and cannot deliver a service
  • In2Sports does not issue cash/card refunds, only bank account transfers. You are required to provide the correct correspondent details for any transfers to be made

Block Booking Policies:

Booking Requirement

A block booking is defined as a minimum of 10 consecutive weekly sessions

  • ‘Consecutive’ means that each session must occur no more than 7 days apart
  • A booking is for the duration of the entire session on any given same day (not determined by the number of hours booked on any given day)
  • All 10 sessions must be allocated to the same one invoice issued for the series of bookings
  • If your bookings and invoice include more than 10 sessions it is still regarded as a block bookings provided all sessions remain consecutive as outlined above

 Exclusions

  • Any additional or new bookings invoiced for or totalling less than 10 sessions, is not regarded as a continuum of the existing block booking
  • Customers cannot receive additional discounts on top of any block booking discount

 Block Booking Disruptions

  • If we cannot provide the booking service on any given week, or there is a disruption to your scheduled block booking, we will make every effort to offer an alternative day/date to maintain your consecutive weekly sessions.  In the event that we cannot offer an alternative, your booking will still be classed as a continuum of the same block booking as long as the relevant invoice is a minimum of 10 sessions

 Rights to Refusal/Alter

  • The company has the right to refuse or alter any booking status if there is a dispute on eligibility, or if the rules and terms of the use of the facility are not adhered to
  • If a block booking is not paid 7 days prior to the scheduled start date, it will be considered incomplete and booker will be obligated to pay the discounted amount. In2Sports will reissue a new invoice with the outstanding balance. Failure to pay this will risk the reservation removed from the system entirely

 Exclusivity Hire

  • Exclusivity fee applies
  • We reserve the right to cancel an existing booking in the event of an exclusive event benefiting the community. In2Sports will give at least one month’s notice for booking cancellations

 Pay & Play

  • A valid ID card must be provided when using our pay & play services
  • This will be returned at the end of the session once the outstanding balance has been settled
  • Play & play is not considered a booking and works on a first-come, first-served basis
  • All individuals for pay & play must be registered

 Community Rate:

  • To be eligible for the community rate, the users must be an E14 resident and either have the following:
  1. Disability
  2. Receive benefits
  3. Full-time student
  4. Senior citizen

 

Social Room:

Booking policy

  • Social room booking is not exclusive unless exclusivity is stated. Other In2Sports members will not be prohibited from entering the social room area
  • Visitors with court bookings can access a social room without prior booking, with an exemption for large group bookings or events
  • For large groups intending to use the Social Room after or alongside their court booking, an additional compliance deposit might be charged
  • Free access to the Social Room without prior booking for court bookings might be limited if other private events have been booked
  • Social Room must always be booked for events and social gatherings that require a specific set-up, decorations or other bar area modification, even if the court is booked

Social Room Cancellation Policy

  • Cancelling up to one month before the booking date entitles you to a 75% refund
  • Cancelling up to two weeks before the booking date entitles you to a 50% refund
  • No refund will be issued if the booking is cancelled less than two weeks before the booking date

 Food & Drinks Policy

  • As we are a licensed premises, no one is permitted to sell or distribute food or drink on our premises
  • Non-alcoholic beverages can be bought on-site for individual consumption only
  • All clients are responsible for removing their food waste items and the responsibility of the organiser to ensure this is met

 

Fitness Studio:

Overview

Payment Processing

  • We use Stripe Inc. for the secure handling of all membership and credit payments. For more details, refer to Stripe Inc.’s terms on their website

 Credits and Packages

  • Credits are essential for booking classes and can be purchased online or at our facility. Prices and packages are outlined on our website and may undergo occasional revisions. Please be aware of the expiry dates associated with purchased credits. Credits and class bookings cannot be transferred or refunded unless otherwise specified
  • Any offers or vouchers are discretionary and may be withdrawn at any time

  

Memberships

  • Membership involves recurring monthly payments, starting after the completion of the joining process. By agreeing to these terms, you commit to paying the applicable fees. Membership payments are made in advance for the subsequent month and continue until cancelled
  • Failure to receive payments may result in account suspension or closure

Class & Membership Users:

  • Users must be at least 16 years old and in good health. Adherence to club rules is mandatory, and failure to comply may result in suspension
  • We reserve the right to take promotional photographs during classes
  • In the event that a class is cancelled, members will be notified up to 2 hours prior of the class commencing when cancelled

Membership Cancellation

  • Membership cancellations must be made over email to info@in2sports.org. Cancellations requested over the phone or at reception will not be accepted
  • Cancellations must be made 7 days prior to the next payment date which is the first day of the month.
  • If notification of cancellation is received within 7 days of the next payment date, your membership will continue until the end of the following month before being cancelled

Freezing Membership

  • Requests to freeze memberships should be sent to info@in2sports.org. Freezing can start only on the first day of the month and must last the whole month. Mid-month freezing is not allowed. A maximum of 3 months of freeze per year is permitted. Requests must be made at least 7 days prior to the payment date. Memberships automatically resume after the freeze period

Health Declaration

  • By using our facilities, you confirm your fitness levels and agree to promptly inform staff of any issues. Please acknowledge your agreement by checking the box and selecting “Complete Booking.”
  • Misconduct or repeated breaches of our Terms of Conditions may result in the termination of facility usage without refund of membership fees

Lost Property

While In2Sports will make every reasonable effort to return lost items to their rightful owner, please be aware of the following:

  • We are not responsible for lost or stuck items and cannot guarantee their return
  • Retrieval attempts will only be made when it is safe and practical for staff to do so
  • Due to the logistics involved in accessing some areas, there may be a longer waiting period before we can attempt retrieval

Changes to Policy

  • We reserve the right to update these policies at any given point. We will update members subscribed to our newsletter of any relevant changes
